Most solutions we reviewed did not offer the level of emergency mustering we required
I would recommend Savance especially to organizations that operate in hazardous or high-risk environments

We are much better prepared to account for people in the event of an emergency
It saves our guards time and improves their quality of life as employees
We now have a centralized location for full transparency of who is on site at all times
The people I worked with at Savance were all gracious and helpful.
We needed a way to verify who was currently in the facility and who had not checked in at the muster point quickly and easily.
A high-risk industrial facility operates in a complex environment where safety, logistics, and security intersect every day. The site manages a constant flow of employees, contractors, visitors, and truck drivers – all while operating under strict safety protocols and evacuation procedures.
With hundreds of vehicles entering and leaving the facility each day, maintaining accurate visibility of everyone on site is critical to both daily operations and emergency preparedness.
A custom Visitor Management design similar to this was created for the customer. Actual design has been changed for privacy reasons.
“Our guards would check in visitors by entering their name and info on an Excel spreadsheet”
Before implementing Savance Workplace, the industrial services facility relied on manual processes to track visitors and contractors, creating both inefficiencies and risk. “Our guards would check in visitors by entering their name and info on an Excel spreadsheet,” an engineer at the facility explains. “This was very tedious and susceptible to human error.”
During evacuation drills, those spreadsheets had to be printed and used for manual roll calls, slowing down response times and introducing additional opportunities for error. This created several operational challenges:
The facility also faced challenges enforcing consistent visitor access controls, creating the risk of individuals entering the site without a clearly identified host or escort. “We wanted visitors to have to identify a point of contact so that no one could come in un-escorted,” the engineer added.
“We wanted visitors to have to identify a point of contact so that no one could come in un-escorted”
The organization began searching for a digital solution that could modernize its processes while improving safety and efficiency. Key requirements included:
“Ensuring every person on site can be quickly located and accounted for during emergencies […] was a major goal”
At the center of these requirements was a clear priority: “Ensuring every person onsite could be quickly located and accounted for during emergencies – with clear visibility into who is safe, missing, or needs assistance – was a major goal,” the Project Manager of Corporate Security explained.
Working with its trusted security integrator, Acadian Total Security, the team evaluated several potential solutions; however, most focused on access control or visitor management alone and did not offer the emergency mustering capabilities the facility required.
Based on a recommendation by Acadian, the industrial facility ultimately selected Savance Workplace because the platform provided the complete accountability and emergency mustering functionality required for a high-risk industrial environment. Key components of the deployed Savance system include:
Visitor & Contractor Management
With Savance Workplace, visitors, contractors, and drivers check in through a streamlined digital process, replacing manual spreadsheets and improving both speed and accuracy. The system also ensures that each visitor identifies a host before entering the facility, strengthening access control and eliminating unescorted entry. This transition not only improved data accuracy but also reduced the administrative burden on security staff at the gate.
Real-Time Site Visibility
The organization now maintains a centralized, real-time view of everyone on site, including employees, visitors, contractors, and truck drivers. This visibility is further enhanced through integration with the facility’s Brivo access control system, helping ensure that entry and exit activity is accurately reflected in real time.
Emergency Mustering & Accountability
During evacuation drills or real emergencies, safety teams at the industrial facility can immediately determine who is accounted for and who may still require assistance. By combining digital check-in data with access control activity, the system provides a more complete and reliable picture of site occupancy.

The implementation process was highly collaborative, with the system configuration evolving to best support the facility’s operational environment. The Savance Workplace team initially mapped out a fully wired kiosk-based setup before shifting to a more mobile, tablet-based approach to provide greater flexibility for security staff—particularly in areas handling drive-up traffic, such as guard shacks.
“While mobility is valuable, reliability at the gate is absolutely paramount. The hybrid setup provided the flexibility the facility needed without sacrificing day-to-day performance”
During onsite testing, inconsistencies with the wireless barcode reader were identified, leading to a shift toward a hybrid configuration—combining wireless tablets and printers with a wired scanner to ensure reliability at the gate. As Joseph Studioso-Marcus, Implementation Specialist at Savance Workplace, explained, “While mobility is valuable, reliability at the gate is absolutely paramount. The hybrid setup provided the flexibility the facility needed without sacrificing day-to-day performance.”
The final deployment also accounted for different visitor workflows across the facility. Walk-up visitors are processed through a stationary kiosk in the reception area, while truck drivers and other vehicle traffic are handled through mobile tablet-based check-in at the facility entrance.
Savance Workplace worked closely with the facility and its security integrator, Acadian Total Security, to configure the visitor management and mustering solutions side by side. This collaborative approach ensured alignment across systems and workflows, with open communication throughout the process enabling all teams to adapt quickly and support the end user effectively.
The deployment also included a custom workflow tailored to the facility’s compliance requirements. Individuals dropping off regulated materials are automatically prompted to sign a site-specific agreement during check-in, eliminating a previously manual process and ensuring consistent compliance.
Savance Workplace was also integrated with the facility’s Brivo access control system, extending visibility beyond visitors to include employees and other personnel. By bringing together access control data and visitor management in a single system, the facility gained a centralized and highly accurate view of everyone on site—including employees, contractors, and visitors.
This unified approach enables security teams to manage real-time emergency mustering with greater confidence, ensuring that both staff and guests are accounted for quickly and accurately during critical situations.
Since implementing Savance Workplace, the industrial services facility has significantly improved its ability to manage site access, enhance safety, and respond effectively during emergencies.
The most critical improvement has been in emergency preparedness. Safety teams can now quickly verify who is on site and who has checked in at muster points, with more accurate and reliable mustering enabled by a unified view of site activity. This gives the facility greater confidence that everyone on site is accounted for in real time. “We are much better prepared to account for people in the event of an emergency,” an engineer at the facility said.
The organization also benefits from real-time visibility into everyone on site. Instead of relying on spreadsheets or contacting the guardhouse, teams now have immediate access to accurate occupancy information. By combining visitor management with access control data, the facility maintains a centralized and highly accurate view of all personnel — including employees, contractors, and visitors — across the site. “We now have a centralized location for full transparency of who is on site at all times,” the engineer explained.

Operational efficiency has improved as well. The digital check-in process reduces the time required to process visitors, contractors, and drivers, helping keep traffic moving smoothly at the facility entrance while reducing the workload on security staff. “It saves our guards time and improves their quality of life as employees,” the engineer added.
“I would recommend Savance especially to organizations that operate in hazardous or high-risk environments”
Finally, the facility has strengthened its overall safety and security posture. By tracking all entry and exit activity and requiring host verification for visitors, the organization now maintains greater control over who is on site at any given time.
Together, these improvements have helped the facility create a safer, more efficient, and more controlled environment for both daily operations and emergency response. Reflecting on the impact, the Project Manager of Corporate Security concludes, “I would recommend Savance especially to organizations that operate in hazardous or high-risk environments.”
