We needed a solution with AD authentication, Outlook, and access control integration with a mobile application. Finding a platform that met all these criteria was not easy.

We ran into a small struggle with the initial AD/Outlook integration, but it was handled very efficiently and any ongoing issues have been minimal.

We now have a centralized platform that enhances our ability to track attendance and location status efficiently.

Growing IT Team Transforms Staff Communication for Greater Accountability

A Savance Workplace Case Study

With more personnel to manage and IT personnel often in the field, tracking location and work status of each team member became cumbersome.

Katie Maloney, IT Supervisor

Background:

San Luis Obispo County, located on the Central Coast of California, has an ever-growing IT Division in its Sheriff’s Office that plays a critical role in managing the county’s technology infrastructure. This department is responsible for ensuring that IT personnel remain accountable and efficient in their day-to-day operations.

Problem:

Prior to implementing a new system, the San Luis Obispo County Sheriff’s Office IT Division relied on a manual and somewhat fragmented approach to tracking IT personnel. Team members would send text messages, Teams messages, or emails whenever they left the site. However, as the division grew, this method proved to be inefficient and challenging to manage.

“With more personnel to manage and IT personnel often in the field, tracking location and work status of each team member became cumbersome,” explains Katie Maloney, IT Supervisor at San Luis Obispo County (Sheriff’s Office IT Division). The department then realized a pressing need for a more streamlined solution: a centralized platform that could offer real-time updates on the status and location of its people.

Search:

The IT Division began searching for a solution with specific criteria in mind. The new system needed to integrate seamlessly with its existing infrastructure, “We needed a solution with AD authentication, Outlook, and access control integration with a mobile application,” Maloney reflects. “Finding a platform that met all these criteria was not easy.”

The department’s exploration led them to evaluate various options; however, most of these fell short when it came to meeting the specific integration requirements. Luckily, they stumbled across Savance through a Google search and signed up for a consultation.

Solution & Implementation:

After a thorough evaluation of the IT Division’s requirements, Savance implemented an Electronic In Out Board tailored to meet the department’s specific needs. The solution offers seamless integration with Active Directory (AD), Outlook, and access control systems, which were functionalities that were critical in the department’s operations.

“Staff are using the mobile app to change their status while out in the field, and then the Outlook Add-In integrates with their calendars and updates their statuses automatically.”

In particular, the Savance system allows IT personnel to update their statuses both from workstations and remotely. “Staff are using the mobile app to change their status while out in the field, and then the Outlook Add-In integrates with their calendars and updates their statuses automatically,” explains Kyle Barszcz, the Support & Implementation Specialist at Savance. These features are useful for fieldwork, where quick status updates are necessary to maintain real-time communication while ensuring that the team’s availability is accurately reflected both on and off-site.

The implementation process was largely smooth, despite minor challenges with the initial integration. However, these were quickly addressed, thanks to the proactive assistance from the Savance support team, “We ran into a small struggle with the initial AD/Outlook integration, but it was handled very efficiently,” Maloney states. “Any ongoing issues have been minimal.”

Results & Benefits:

Since implementing the Savance Electronic In Out Board, San Luis Obispo County Sheriff’s Office IT Division has seen significant improvements in personnel accountability and efficiency. The new centralized platform allows for real-time updates on the attendance and location status of team members, streamlining operations and reducing administrative burden.

“The most important outcome has been the improvement in personnel accountability,” Maloney explains. “We now have a centralized platform that enhances our ability to track attendance and location status efficiently.” Moreover, the department has benefited from the excellent customer support provided by Savance, which has been a key factor in the successful adoption of the new system.

“The most important outcome has been the improvement in personnel accountability.”
