Why are my “In” users grayed out in the Emergency Mustering app? (“In/Out” Statuses VS “Mustering” Statuses)

Overview

New Savance Workplace customers may notice that a user who appears “In” on the standard In/Out Board may show as gray (Unknown) on the Emergency Mustering roll call board. This is expected behavior.

The key reason is that mustering statuses are distinct and separate from In/Out Board statuses. While the In/Out Board tracks general on-site presence, the Emergency Mustering app tracks verified attendance for emergency roll calls.

This article explains the differences, including the meaning of status colors on both boards, to help prevent confusion.

Status Color Differences

In/Out Board (Default Status Colors)

Color Meaning
Gray Out – The user is not on-site or currently out of the office.
Green In – The user is on-site or currently in the office.

(Note: “Green” and “Gray” are the default status colors for “In” and “Out” respectively. However, these colors can be changed by system administrators. As such, your Savance Workplace’s In/Out Board status colors may differ from those shown above.)

Emergency Mustering Roll Call Board (Default Status Colors)

Color Meaning
Gray Unknown – The user’s location has not been verified for the current muster. This is the default status at the start of a roll call, or can be set if the mustering administrator does not know the user’s whereabouts.
Green Present – The user has been verified as on-site and marked “Present” during the mustering roll call.
Red Not Present – The user has been confirmed as not on-site during the muster (even if their in/out board status shows “In”).

Why a User Can Be “In” But Still Gray on Mustering

  1. Separate Tracking Systems
    • The In/Out Board statuses update based on kiosk scans, badge swipes, or manual updates – generally represents whether a user is on-site or off-site.
    • The Mustering Board statuses only update when a user has been specifically accounted for during an emergency mustering roll call.
  2. Default Unknown Status
    • All users begin a muster with a gray “Unknown” status because the system has not yet verified their presence for emergency purposes.
  3. Verified Attendance Updates Status
    • Once the mustering administrator marks the user as Present (green) or Not Present (red), the mustering board updates accordingly.
  4. Intentional Separation
    • This design ensures that mustering accurately reflects confirmed roll call attendance, independent of general in/out user tracking.

Key Takeaways

  • A user being green (In) on the In/Out Board does not automatically make them green (Present) on the Mustering Board.
  • Gray on the Mustering Board simply means the user has not yet been verified during the current roll call.
  • This distinction allows emergency coordinators to get accurate attendance information, even if someone is technically on-site.

Tips for Administrators

  • Educate staff and other administrators about the difference between In/Out Board status and mustering status to avoid unnecessary confusion.
  • Consider running a quick training or visual guide for end-users to understand why a user might appear gray during a muster.
  • Ensure that mustering roll calls are completed regularly so that “Unknown” statuses are minimized.
